CANCELLATION POLICY

Less than 15 day’s from the date of program. Refund after deducting 10% administrative charges. Refund after deducting 10% administrative charges.
Less than 1 week from the date of program. Refund after deducting 20% administrative charges. Refund after deducting 20% administrative charges.
Less than 48 hours from the date of program. No Refund No Refund
  • A written application to be submitted to the YWCA of Delhi mentioning the dates, timing and purpose of the booking on the letter head of the company. A copy of the same letter has to be submitted to the SHO, Parliament Street police station and also has to be forwarded to YWCA of Delhi office before the program (Only for the Constantia Hall booking).
  • Conference room/hall will be made available only half an hour before the scheduled booking time.
  • Parking of vehicles inside the YWCA of Delhi premises during conference or meeting is at owner’s risk. The right of admission is reserved.
  • Postponement of dates will be allowed only once, subject to the availability of Conference Rooms/Constantia hall/Auditorium. Once postponed, the booking cannot be cancelled and the money will be forfeited.
  • Outside food is not allowed in YWCA of Delhi premises.
  • Projector with Screen @ Rs.2300/-.
  • Extra lights/ stage lights @ Rs.2300/-.

TERMS AND CONDITIONS OF BTFH:

  • 9% Service Tax is applicable
  • 8.7% Service Tax for usage of laundry, telephone, internet TMF etc.
  • 4.7% transition charges for online booking.
  • Rates are subject to change without notice.
  • Tariff includes breakfast.
  • Check in/out time is 12:00 Noon.
  • Transient membership fee of Rs.50/- will be charged per head on arrival, which is valid for one month.
  • Reservation opens 24 Hours.
  • 15% luxury tax on room tariff.
  • Payment can be made by Cash, NEFT or by Demand Draft in favor of YWCA of Delhi.
  • One day advance to be paid at the time of reservation for confirmed booking.
  • No Credit allowed.
  • Postponement or Preponement is permitted only once against one booking and only against a confirmed date.
  • Maximum period of stay is one month.
  • Credit card, Master card, Visa Card and Debit card are accepted.
  • Minimum 6 people required for the booking of dormitory.
  • Family suite formerly known as club room.
  • All rooms have attached bath/ toilets.
  • All rooms have intercom/ telephone/ Wi-Fi facility.
  • Room heaters are provided in air- conditioned rooms in winter.
  • A restaurant with room service facility provides Indian, Mughlai & Chinese cuisines.
  • All rooms are provided with Television.
  • Laundry and Dry Cleaning services available.
  • Facilities for group bookings.
  • Travel service facility with sightseeing tours, taxi service, domestic and international ticketing.
  • E-mail facility.
  • The management reserves the right of refusing admission without the need to show cause.
  • 50% Room tariff will be charged as room retention charge for check out after the actual booked date.

Terms & Conditions:

  1. Booking is done on first come first serve basis. For booking a written application or an email to be submitted in YWCA of Delhi mentioning the dates, timing and purpose of the booking on the letter head of the company. A copy of the same letter has to be submitted to the SHO parliament street police station and also has to be forwarded to YWCA of Delhi office before the program (ONLY FOR THE CONSTANTIA HALL BOOKING). All documents have to be submitted before the booked function date.
  2. Reservations will be confirmed on receipt of letters/e-mails and on advance payment of 100% of the tariff charges.
  3. PA system is included in Constantia Hall booking charges (One stand mike, one cordless mike with sound system).
  4. Conferences of political and religious nature are not permitted.
  5. Decorations, posters etc. are not permitted elsewhere outside the premises of the YWCA. Banners/Backdrops should be on stands or in hanging position only.
  6. Registration table for registration of delegates for the meeting rooms is permitted in the pre-function areas.
  7. Security Deposit of Rs. 5000/- as advance which will be refundable.
  8. Sponsors of the programme will be responsible for any damage caused to the building, furniture, and equipment by their agents, performers or members of the audience.
  9. If a party is unable to use the booking venues due to failure of electricity or on account of riot, fire, earthquake or an act of war, the YWCA will not be liable for any loss suffered by the booking party.
  10. Booking parties are requested to take care of conference material/technical equipment/personal belongings, as the YWCA is not responsible for any loss of items.
  11. Conference facilities can be used between 9.00 am to 8.00 pm only.
  12. The timings are from 9:00 am to 5:00 pm or 10:00 am to 6:00pm. In case time exceeds an additional charges of Rs.600/- per hour will be charged for Conference room subject to a maximum of 2 hours (up to 2000hrs) and Rs.1300/- per hour will be charged for Constantia hall subject to a maximum of 3 hours (up to 2100hrs) only. No half day charges for conference room.
  13. In view of the prevailing security environment, organizers of the programme are to nominate designated representatives for identifying delegates and guests to ensure that only invited persons are allowed to attend the programme. At the time of Booking, the details of the representative have to be informed.
  14. Direct Telecast of the Conference/Programme is not permitted.
  15. Reservation of catering requirements has to be informed in advance at the time of booking the venue with the number of persons guaranteed.
  16. Outside catering or bringing in food and beverage items from outside are not permitted.
  17. Eatables, cold drinks shall not be brought into any meeting venues.
  18. Smoking is prohibited in the meeting venues.
  19. Shouting slogans or singing any religion based song in the premises is not permitted.
  20. Booking parties are requested to strictly adhere to the time slot for which bookings have been made; and vacate the venues on time.
  21. Booking parties must ensure that banners/backdrops are removed immediately after their meetings conclude and not leave it behind at the venue.
  22. Live band, live musical programme, marriage ceremony or rituals of any kind are not permitted.
  23. Nails, double sided tapes or scotch tapes are not allowed to be used on the Conference Rooms walls.
  24. Booking Parties are requested to make sure that the participants/delegates are confined to the venues booked for them for meeting/catering arrangements.
  25. Booking parties are requested to avoid making noise outside the meeting venues.
  26. Any commercial transactions are not permitted within the premises of the Organization.
  27. The seating arrangements in Conference Room No.1 / Conference Room no.2 / Conference Room No.3 will remain unchanged.
  28. Conference Room will be made available only half an hour before the scheduled booking time.
  29. Postponement of dates will be allowed only once, subject to the availability of conference rooms or Constantia hall/ auditorium. After postponement the booking cannot be cancelled and the money will be forfeited.
  30. Extra charges will be taken for Projector with Screen, Extra lights, stage lights @ Rs.2360/-. Per head.
  31. Damage - The hirer will be responsible for the cost of repairing for any damage caused, replacing fixtures or fittings lost or damaged, or for deep clean of the hired area in the event that unnecessary mess is caused. In the event the hirer does not repair and / or replaces and / or makes good of the damages caused, to the satisfaction of YWCA, YWCA shall have the right to apply the entire security deposit amount or part thereof for carrying out the repairs / replacements as may be required. In case the cost of damages caused is more than the security deposit amount, then YWCA shall also have the right to claim the additional expenses on this account from the hirer.
  32. Conduct - The hirer will be responsible for the proper conduct of persons using the conference room in question.
  33. Loss of property - YWCA does not accept responsibility or liability for any damage or loss of property of things that are placed and left upon the premises whilst the conference room is hired.
  34. Indemnity - The hirer shall indemnify YWCA and its officers / employees against all claims, demands, actions or proceedings in respect of the default or injury caused by or to any person which shall occur whilst the person is in or upon conference room premises or arise from an accident whilst at the premises, or in respect of any loss or damage suffered or sustained by any person.

CANCELLATION RULES:

Refund of advance may be made under the following conditions:-
  • Taxes are non-refundable.
  • For cancellations less than 48 hours before check in time 50% on basic rates will be refunded.
  • Cancellation made more than 48 hours before check in time 10% on basic charges will be charged as administrative charges.
  • For cancellation less than 24 hours before check in time full amount treated as forfeited.
  • Booking dates can be change once with confirmed dates (depends on availability). After changing dates cancellation is not permissible.
  • For Check out before actual booking dates, 50% of the basic rates will be charged as administrative charges.
  • For group booking ( more than 5 rooms) 10 days’ notice period is required for cancellations. Less than 10 days’ full amount treated as forfeited. More than 10 days less than 15 days 50 % on basic rates will be refunded. Cancellation made more than 15 days before check in time 10% on basic rates will be charged as Administrative charges.
  • No request for cancellation on Telephone will be entertained.
